SharePoint sharing links in scan results
When the option "Include anonymous and organizational links" (Configuration -> SharePoint 1) is selected, ReplaceMagic shows the sharing links of each scanned SharePoint document in the following columns of the scan results:
Column | Link in the SharePoint Share dialog
DirectLink | Link for people with existing access. It does not give access to anyone; it is available for every document.
OrganizationalViewLink | "People in your organization" with Can view
OrganizationalEditLink | "People in your organization" with Can edit
AnonymousViewLink | "Anyone" with Can view
AnonymousEditLink | "Anyone" with Can edit
ReviewLink | Can review - recipients can view the document and suggest changes (comments and tracked changes), but cannot edit it directly
BlockDownloadLink | Can't download - recipients can view the document in the browser, but cannot download, print or copy it
"n.a" means that the document has no link of that kind.
Please note:
- Ultra fast scan. Sharing links are read only when Ultra fast scan is turned off. With Ultra fast scan turned on, all link columns show "n.a", even when "Include anonymous and organizational links" is selected. The scan log shows a warning in that case.
- Availability depends on the file type. Depending on the file type, SharePoint may not offer "Can review" or "Can't download" in the Share dialog. If an option is missing there, SharePoint does not support it for that file.
- Links for specific people. Links created for "Specific people" (People you choose) with Can view or Can edit are not shown - there is no column for them. If such a link uses "Can review" or "Can't download", it is shown in ReviewLink or BlockDownloadLink.
- Sharing with people who already have access does not create a link. If you share a document with someone who already has access (for example a site owner), SharePoint only sends a link for people with existing access (DirectLink) and no new sharing link appears in "Manage access -> Links".
- One link per column. If a document has more than one link of the same kind (for example two "Can review" links), the first one is shown.
- Links created in the new Share dialog. Links for "Anyone" or "People in your organization" created in the current SharePoint Share dialog are shown in the Anonymous and Organizational columns as well. Older ReplaceMagic versions did not show them, and did not show "Can review" and "Can't download" links at all.
- Where the columns are available: Scan documents grid, Excel and CSV export, CSV import ("Make export for Import"), database export (Export Run) and loading of a saved run. CSV files and saved runs created with older versions do not contain ReviewLink and BlockDownloadLink - after import or loading these columns show "n.a".
- Database: the database needs two new columns. When you open Export Run after the upgrade, ReplaceMagic shows the message "Database update required!" and updates the database automatically (see Export Run).
- SmartMapper uses these links to find the document a sharing link points to, so links to documents that are shared with "Can review" or "Can't download" are converted like other sharing links (see "What SmartMapper converts").
- Log: the scan log shows whether "Include anonymous and organizational links" is selected, and a warning when Ultra fast scan is on (sharing links are not read). A detailed log line for every sharing link is available for support diagnostics - contact ReplaceMagic support.
