WORK PROCESS:

The preparation of search & replace strings is a key activity that requires careful analysis of existing links, the locations of the files in which they appear, and the applicable migration rules (source and target locations). These elements must be combined to define effective search & replace patterns. The goal is to create few search & replace combinations as possible while still covering all links.
Because links can be absolute, relative, or ID-based, this activity requires a certain amount of time and experience. The ReplaceMagic team can step in here and, based on our extensive experience, prepare the required search & replace combinations. While this also requires effort on our side, we believe it will be significantly more time-efficient than if performed by someone who only does this occasionally.
We can help prepare combinations that address all link types, including absolute links, relative links, and SharePoint ID-based links. The latter are becoming increasingly important due to the growing number of SharePoint tenant-to-tenant migrations, where IDs from the source tenant do not exist in the target tenant. To resolve this, we convert ID-based links into absolute links so they continue to work correctly after migration.
Your tasks would be:
- Prepare a document listing all source locations and their corresponding target locations
- Scan all documents using ReplaceMagic and share the scan exports with us
Based on the provided data (and, if needed, a few coordination calls), we will prepare the search & replace combinations and share them with you. These combinations can be imported directly into ReplaceMagic. After that, you can start the replacement process and wait for completion. During this phase, our involvement is not required, which avoids unnecessary costs—there is nothing to do during the replacement run except wait for it to finish.
It is important that all migration rules and complete scan results are shared upfront, as we allocate capacity on our side based on this information. If additional information is provided later, we may not have immediate availability, which could lead to extra costs and delays on your project side.

PREREQUISITES:

Purchase of ReplaceMagic license(s) is required for this service. Based on the number of links and the available timeframe, we can advise on the required number of licenses.
You have completed the scanning of all locations included in your migration and shared the scan results with us. Any additional scans will need to be provided as a separate package which will cause additional costs.
You have prepared and shared the migration rules, including all source and corresponding target locations.

WHAT IS NOT INCLUDED:

The ReplaceMagic team will not execute the scanning or replacement processes, as these are initiated by you and simply run until completion. Of course, we will provide clear, step-by-step instructions on how to perform these actions.

The default quantity is 1 (Package 1M). If you require a larger package, simply enter the corresponding quantity.
